Position Overview

The Strategic Coordinator plays a critical part in enabling the President, COO, and other Leadership team members to focus on strategic objectives by handling administrative tasks efficiently and professionally. Serves as a trusted partner in managing time and priorities and oversees general office operations. Coordinates and schedules leadership team meetings, company meetings, and other events. Coordinates and arranges travel for the President and COO as well as expense reports. Plays a key role in internal communications including Town Halls and other staff communications coordination. Works on special projects to improve FCDI effectiveness.

Job Description

Essential Job Functions

  1. Provides administrative support to President and COO; may assist other leadership team members as workload allows. Completes a broad variety of administrative tasks efficiently including preparing expense reports, calendar management, crafting written correspondence and outreach on the President and COO’s behalf (e.g., handling mail, making and returning phone calls, etc.).
  2. Drives written reports, presentations, correspondence, etc. as designated by the President and COO to support internal communications as well as managing the relay of business planning efforts.
  3. Handles the coordination, scheduling, preparation, materials, notetaking/minutes, and follow-up for Leadership Team meetings, as well as other assigned meetings.
  4. Coordinates and manages on-site client or VIP visits and meetings.
  5. Oversees general office management, larger meetings, and special event planning to include ordering of supplies.
  6. Supports leadership team in developing short-term and long-range goals and planning.
  7. Assists in compiling and maintaining company metrics/dashboard to monitor and evaluate the effectiveness of performance.
  8. Plays a key role in communication efforts, with input from leaders and marketing, develops and authors a variety of on-brand internal communication material, including FCDI’s intranet.
  9. Assists with activities related to the Business Continuity Plan, schedules and facilitates meetings and ensure plan document remains up to date.
  10. Represents FCDI at local biotech events, ensuring a positive company image and keeping abreast of local trends.
  11. Completes special projects as assigned by the President.
  12. Serves as a Notary Public for FCDI.

 

Qualifications

  • Seven or more years of business experience, ideally in a related industry.
  • Bachelor’s degree in marketing, communication or related field, or equivalent experience.
  • Excellent written and verbal communication skills.
  • Strong planning, prioritization, organization and execution skills with an attention to detail. Demonstrates initiative to ensure timely completion of assignments.
  • Advanced user of Microsoft Suite; especially Word, Excel, SharePoint, and PowerPoint. Learns and uses other software/technology as needed.
  • Able to work independently and collaboratively.
  • Adaptable – responds effectively to change and can influence others in a positive manner.
  • Treats sensitive information in a highly confidential manner.
  • Strong service orientation with a positive outlook.
  • Works on-site a large majority of the time.
